Is the EMDRIA Annual Conference held inside the hotel?

Yes, workshop sessions and all EMDRIA events are held throughout the Conference hotel.

  

How long is the entire Conference?

The Conference runs Thursday (pre-Conference) and (main Conference) Friday through Sunday.

 

What time does the Conference end?

The Conference ends on a Sunday around 3:30 pm.  

  

Who attends the annual EMDRIA Conferences?
Typical attendees include Mental health professionals such as: Social Workers, Therapists, Psychiatrists, Psychologists and Counselors and Psychiatric Nurses. 


What are the teaching methods used during the EMDRIA Annual Conference?
The teaching methods used by our Conference presenters include lecture, PowerPoint presentations, interactive discussions, small group exercises, case study presentations, and question and answer periods.

 EMDRIA Annual Conference Registration Frequently Asked Questions

 

When does registration open?

Registration typically opens somewhere between April to May. Dates vary due to finalizing agreements and other administrative tasks. 

 

When will the registration brochure be mailed out?

EMDRIA Conference registration brochures are mailed out to all active EMDRIA members a few weeks after registration has opened. Please contact our Administrative Coordinator, Sarah Frazier, at sfrazier@emdria.org or 866.451.5200 to request a registration brochure if you are not an active EMDRIA member or have not received a copy in the mail. 

 

Can I register for the Conference over the phone?

We offer multiple ways you can register for the Conference, but we do not accept registrations over the phone due to the lengthy process. However, we would be happy to assist you in making changes to your registration or take payment over the phone. Please use the method that best works for you. You can register online through our Conference website or you can submit the Conference registration form via mail (5806 Mesa Drive, Suite 360, Austin, TX 78731), fax (512.451.5256), or scan and e-mail it to info@emdria.org. Please note: Registrations submitted through our Conference website are processed immediately. If you decide to fax in your registration, please be aware that there may be a delay in processing which may cause you to not be able to register for session(s) you've selected. We strongly encourage you to register online.


Why is the registration form asking for my EMDRIA Member ID #?

This is a new field we are asking attendees to provide only if they are EMDRIA members to better assist staff in auditing our roster. If you do not know your member ID # you may email Sarah Frazier, our Administrative Coordinator, at  sfrazier@emdria.org or call our office at 866.451.5200 for assistance. 

 

I registered as a non-member and am eligible for the free one-year membership, what are my next steps?
Once your eligibility has been verified, an email will be sent within 2-4 weeks of your registration with further information on which membership you are eligible for and instructions on how to obtain your free year of EMDRIA membership. A response is required by the last day of the conference in order to receive your one free year of membership. No exceptions. If you do not receive an email 2-4 weeks post-completion of your registration, please email our Membership Services Coordinator, Bergen Villegas, at bvillegas@emdria.org for assistance. 

  

How will I receive my registration materials?

A registration receipt will be emailed to you after you complete online registration. If you submitted a registration form to our office – a registration receipt will be emailed to you as well. You will receive your registration materials (name badge, etc.) at the Conference. 


I did not receive my registration confirmation email, who should I contact?
Please email us at info@emdria.org and our staff can assist you in re-sending your confirmation email. Please provide us with the email address you used to register for the Conference. 

 

What are the requirements to receive the student registration fee?

Please submit a current semester schedule showing at least 9 credit hours to our office with your registration form. If you registered online, you may submit your current transcript via fax (512.451.5256) or email (info@emdria.org) or mail it to our office at 5806 Mesa Drive, Suite 360, Austin, TX 78731. Please be aware that our Conference registration roster is audited to verify current enrollment status for student attendees. 

 

My employer requires a receipt for reimbursement, how do I obtain one?
Please email Bergen Villegas, our Membership Services Coordinator at bvillegas@emdria.org for assistance.  

 

What does the registration fee cover?

The registration fee covers all plenary sessions (Thursday - Sunday), registered individual sessions, continuing education credits earned. Attendees who are registered for the main Conference or pre & main Conference will receive 1 complimentary Awards dinner ticket (if registration is received before the deadline). Attendees who register for the pre-Conference only or any single days are not eligible for a complimentary Awards dinner ticket but may purchase one. For more information on Award dinner tickets, please email our Membership Services Coordinator, Bergen Villegas, at bvillegas@emdria.org

  

What are the registration deadlines? | 2016 Specific | [2017 Dates are subject to change]
To receive the Early Bird discounted fee, we must receive your registration form (or you may register online here) before or on July 1, 2016. Any registration forms received after July 1st, 2016 will not qualify for the Early Bird Discount. Any registration forms sent by fax, email, or regular mail must be received by August 12, 2016. After this date, you must register online or on-site. No exceptions.

 

Once online registration for the Conference is closed, can I still register on-site? | 2016 Specific | [2017 Dates are subject to change] 
Yes, you may register on-site at the registration desk. There will be an additional $25.00 USD fee for all on-site registrants. On-site registrants will not be able to attend the Awards dinner on Saturday, August 28th, because the hotel requires attendance to be confirmed prior to the Conference. 

 

I am an international attendee. How do I obtain a formal invitation letter to submit with my visa application? 

Once you have registered for the Conference, please email our Membership Services Coordinator, Bergen Villegas, at  bvillegas@emdria.organd a formal invitation will sent from EMDRIA's Executive Director to you.

 

Are there accommodations for people with disabilities and those requiring special assistance?

Yes, we ask all attendees to disclose any requested accommodations in your registration form (available both in print and online). Please contact our office at info@emdria.org or 866.451.5200 if you were unable to provide information in your registration.

Frequently Asked Questions


How can I change my sessions after I've registered? 

Once you've registered, a Conference registration confirmation receipt will be emailed to you. There will be a confirmation number located in this receipt. If you should decide to modify your sessions, please visit our Conference website and select "ALREADY REGISTERED?" on the top right hand of the site. You'll be asked to enter in the email address you used to register and your confirmation number. The page you will be directed to will allow you to modify your registration, print your agenda or email your confirmation page.

How do I change my sessions once the Conference has already started?

Please visit the Conference registration desk and speak to a member of the EMDRIA Staff. You'll be asked to fill out a session change form. Depending on capacity, you may or may not be able to select your desired session. To expedite your request, we strongly encourage you to have your new session selection already chosen prior to coming to the registration desk. 

 

What is the cancellation and refund policy? | 2016 Specific | [2017 Dates are subject to change]

All cancellations must be in writing and requests for refunds must be received no later than 30 days following the Conference. A $30 processing fee will apply to all cancellations postmarked on or before July 25, 2016. For all cancellations received after July 25, 2016, a refund of one-half of the paid registration will be given. There will be a $25 processing fee charged if re-billing is required for credit cards and a $25 charge for all returned checks.

Does EMDRIA offer any scholarships/assistance for the Conference? | 2016 Specific | [2017 Dates are subject to change]

The Memorial Scholarship Fund was established to expand professional development opportunities for EMDR trained therapists who would otherwise not be able to attend the EMDRIA Annual Conference. The fund was inspired as a memorial to Elizabeth Snyker, one of our dedicated founding members

The Memorial Scholarship Fund will fund some or all of the cost of attending the EMDRIA Conference each year according to need and based on available funds in the Memorial Scholarship Fund. Eligibility: You may not have received an EMDRIA Conference Scholarship during the previous 3 years.

The Scholarship will be awarded based on: 1) need, 2) demonstrated service and 3) potential benefit to the community where applicants provide services. Potential recipients may apply personally or may be nominated by others through submitting an application form including a brief essay. This application also requires statements of recommendation from at least one EMDRIA member.

 

Please contact our Membership Services Coordinator, Bergen Villegas, at  bvillegas@emdria.org for deadline information and submission questions. Click here to download the application. The 2016 Memorial Scholarship Application Deadline was June 1st, 2016. Please view the 2016 application as an example. 


Does EMDRIA offer any volunteer opportunities to offset the cost of the Conference?
Volunteer opportunities for paid registrants may be available during pre-Conference to assist with monitoring sessions. If you are selected for one of these positions, you will receive a small refund on your registration fee after the Conference. These volunteer opportunities are only available during pre-Conference since local university students monitor the main Conference sessions. If you are interested in a volunteer position, please email our Membership Services Coordinator, Bergen Villegas, at bvillegas@emdria.org.

EMDRIA Annual Conference "At the Conference" Frequently Asked Questions

 

 

Where do I pick up my registration materials?

If you have registered for the pre-Conference, you are eligible to pick up your registration envelope on-site on the Wednesday before the start of the Conference. If you did not register for the pre-Conference, you will be able to pick-up your registration envelopes at the registration desk on Thursday or when you arrive to the hotel.

 

How do I change my sessions once the Conference has already started?

Please visit the Conference registration desk and speak to a member of the EMDRIA Staff. You'll be asked to fill out a session change form. Depending on capacity, you may or may not be able to select your desired session. To expedite your request, we strongly encourage you to have your new session selection already chosen prior to coming to the registration desk. 

 

What if my name badge is missing a credential or my name is misspelled?

Please visit the registration desk from Thursday to Sunday and ask to speak with Kathryn, our SMART-REG representative. Please note: you will still receive credit if you scan in and out of your session even if there is a mistake on your name badge. We encourage you to visit Kathryn during non-busy registration hours since we only have one badge printing machine


What is the dress code?

The suggested dress for the entire Conference is business casual. We also suggest that you dress in layers as meeting room temperatures vary and can be unpredictable. 

 

When are session handouts available?

Sessions handouts will be provided to you in two formats. A few weeks prior to the Conference, you will receive an email link to a web page where you can download the handouts for every session. The web page is available up through the end of the Conference. When you attend the Conference, you will receive a USB drive containing all of the session handouts in your registration bag.

 

Please note: EMDRIA supplies attendees with all handouts our office has received. On occasion, a Presenter may not provide handouts

 

Printed sessions handouts will not be provided by EMDRIA at any time. However, the hotel will have a business center where you may print handouts for a fee.

 EMDRIA Annual Conference Continuing Education Frequently Asked Questions 

Please be aware that all credit hours will be awarded according to the individual requirements of each continuing education agency.


How do I receive CEs from attending the EMDRIA Annual Conference?

Participants must complete an evaluation form in order to receive a certificate of completion/attendance.  Your chosen sessions must be attended in their entirety.  Partial credit of individual sessions is not availableIt is imperative that you scan in and out of every session you attend, as you will not be able to obtain credits if you do not.  NO EXCEPTIONS.

 

How do I scan in and out of every session?

EMDRIA uses Tap-N-Go stations which are designed to track attendee’s attendance for each session. Your name badge that you receive at the registration desk is used to “tap in and out” (aka record your attendance to verify with accrediting agencies that you attended the session in its entirety. When you place your name badge up to the Tap-N-Go station, a green light will appear meaning your attendance was electronically recorded. If you receive a red light, please wait a moment and try again (you may have scanned your card too quickly). Visit the registration desk and ask to speak with Kathryn, our SMART-REG representative for assistance if your card does not scan properly. 

 

You may scan in 15 minutes prior to the start of the workshop and scan out 15 minutes before the end of the workshop in order to receive full credit.

Accreditation Statement - This activity has been planned and implemented in accordance with the accreditation requirements and policies of the Accreditation Council for Continuing Medical Education (ACCME) through the joint provider-ship of the Institute for the Advancement of Human Behavior (IAHB) and EMDR International Association (EMDRIA). The IAHB is accredited by the ACCME to provide continuing medical education for physicians.

Credit Designation Statement - The IAHB designates this live activity for a maximum of 22.5 AMA PRA Category 1 CreditsTM. Physicians should claim only the credit commensurate with the extent of their participation in the activity.


I’m a Nurse, can I obtain credits from the EMDRIA Annual Conference?

The Institute for Advancement of Human Behavior is accredited as a provider of continuing nursing education by the American Nurses Credentialing Center's Commission on Accreditation. This course is co-provided by IAHB and EMDRIA. Maximum of 22.5 contact hours.

Staff availability before the Conference? 

The EMDRIA staff will be unavailable from Monday to Wednesday before the Conference. These days are strictly for traveling and set-up. You may email info@emdria.org if you have Conference related questions and they will be answered in the order they are received. There will be no staff available to take your call beginning the Friday before the Conference. We strongly encourage you to email us for any Conference related matters during this time. 

 

Staff availability during the Conference?

The EMDRIA staff will be available Thursday morning through Sunday afternoon at the Conference registration desk. For all Conference related matters, you may either email info@emdria.org or come to the registration desk. We strongly encourage you to come during off-peak hours if your question is not urgent. Please note: our staff is unavailable to accept renewals, applications or handle any non-Conference related materials during this time. 

 

Staff availability after the Conference?

The EMDRIA office will be closed for a week post-completion of the Conference. There will be no staff available to answer emails or calls during this time which is dedicated to travel and recuperate. You may call the office at 866.451.5200 or email us at info@emdria.org during this time and your question will be answered in the order that it was received.
